When you are the Sergeant-At-Arms
The
Sergeant-at-Arms is the first to speak at club meetings and officially
calls the meeting to order the hands it over to the Chairman. As Sergeant-At-Arms,
it is important that you be enthusiastic, confident and friendly. See
if you can almost be theatrical and humorous, as the mood for the meeting
will be set by you.
Start the meeting on time with an accurate watch.
RESPONSIBILITIES:
- Being the first speaker, you will need to arrive early to help to
set-up the room. Hang the club banner, display club and guest promotional
materials and distribute minutes and other notices.
- Give a five-minute warning prior to the commencement of the meeting.
- Call the meeting to order at the correct time and cover the following
in your presentation:-
- Announce the meeting number
- Advise of the voting slips
- Ask for mobile phones to be switched off
- Describe where the amenities are and any extra notices the venue
may require, such as, fire evacuation procedures
- Introduce the Chairman of the meeting and hand the gavel of authority
to that person
